The short answer: Co-managed IT is a partnership between your in-house IT person or team and an outside IT provider. Your people keep handling day-to-day work and the things they know best, while the provider fills the gaps, usually security, 24/7 monitoring, backups, after-hours coverage and bigger projects. It's a good fit for businesses that have some IT help in-house but not enough to cover everything.

How is co-managed IT different from fully managed IT?

With fully managed IT, the provider handles all of your technology. With co-managed IT, the work is shared. You decide together who handles what, and it's written down so nothing falls through the cracks.

A typical split looks like this:

  • Your in-house person: user questions, printers, onboarding new employees, your line-of-business software, day-to-day requests

  • The provider: firewall and security tools, 24/7 monitoring, patching, backups, after-hours emergencies, vacation coverage, and projects like migrations and upgrades

What are the signs you need co-managed IT?

Your IT person is stretched thin. Tickets pile up, projects stall, and security tasks get pushed to "someday."

There's no coverage when they're out. Vacations, sick days and nights are a single point of failure.

Security has outgrown one person. Modern security needs EDR, monitored alerts, email protection, training and tested backups. That's a lot for one generalist.

Projects keep slipping. A Microsoft 365 migration, a firewall replacement or a new office never seems to get done.

You're answering tough insurance questions. Cyber insurance applications ask about MFA, EDR, backups and training, and you're not sure the answers are "yes."

Your IT person wants a second opinion. Even experienced IT staff benefit from someone to bounce ideas off.

What are the benefits?

  • Keeps your in-house knowledge. Nobody gets replaced. Your person's knowledge of your business stays.

  • Adds expertise and tools your team couldn't justify on their own.

  • Covers nights, weekends and vacations.

  • Improves security with around-the-clock monitoring and managed protection.

  • Costs less than another full-time hire.

How do you make co-managed IT work well?

  • Write down who owns what, including who responds to after-hours alerts.

  • Share one ticketing and documentation system, or at least share access to each other's.

  • Meet regularly to review open issues, projects and security.

  • Make sure your business, not the provider, owns all passwords and documentation.

Frequently asked questions

Will co-managed IT replace my IT staff?

No. The goal is to support your in-house IT person or team, not replace them. They keep the work they do best, and the provider fills the gaps.

Is co-managed IT cheaper than hiring another IT employee?

Usually, yes. You get a team with broader skills, security tools and after-hours coverage for less than the salary and benefits of an additional full-time hire.

Can we start with co-managed IT and change later?

Yes. Some businesses move to fully managed IT when their in-house person leaves or changes roles, and others stay co-managed long term. The arrangement should adjust as your business changes.
